Fundraising Rules
The objective of all Spirit Express fundraisers is to help make competing more affordable for our competitors. It is our goal to accomplish this with as much communication and ease as possible.
1. All funds raised are to be used for the following: Coaches and competitions fees, uniforms and items associated such as bows, shoes and bloomers.
2. All fundraisers must have Spirit Express approval. The Fundraiser Form must be completed and submitted by the Fundraiser Chairman a minimum of 30 days before fundraiser.(Submission of the Fundraising form may require submitting the form many months before the fundraiser depending on the type of event held.) Spirit Express will sign off on the form for approval asap.
3. Each Fundraiser must have a Chairperson and/or persons.
4. Money distribution will be determined prior to the event on the Fundraiser Form.
5. All items donated for fundraisers are “donations” unless approved for reimbursement. There are reimbursements for purchases WITH PRIOR APPROVAL by Spirit Express or Fundraiser Chairperson only.
6. 5% of the profit of all Fundraisers will be donated to a local charity of the fundraiser chairperson’s choice.
7. Fundraising is done at your own risk, money IS NOT GUARANTED. No profit no pay out.
8. Only approved participants (on the Fundraising Form and/or work schedule) that work the event will be included in the PAY OUT of the fundraiser.
9. All items are “For Sale” Items are not discounted or free for participants and/or families working the fundraiser unless otherwise stated.
10. Fundraising Chairperson will submit a Distribution Form listing all the fundraising participants’ and what the PAY OUT IS TO EACH PARTICIPANT who worked the fundraiser. The form and the proceeds of the event must be submitted to Spirit Express within 4 days of the event. All proceeds are to counted, balanced and signed off on the Distribution form. REMEMBER THE PEOPLE CHAIRING THESE EVENTS ARE VOLUNTEERING THEIR TIME. DO NOT MAKE THEIR JOB HARDER THAN IT HAS TO BE.
11. Money will be posted to your accounts in a timely manner. Do not expect it to be posted to your account immediately. DO NOT EXPECT to use your fundraising money in a short turnaround time. Waiting on fundraising funds will not excuse any late fees incurred.
12. After all COMPETITORS OBLIGATIONS HAVE BEEN PAID, competitors who still have money in their account may use their balance for the following: Camps, tuition, logo wear and travel expenses related to competitions.
13. There are no refunds for anyone who does not finish the competition season and doesn’t refill their competition contract. Competitors who drop out during the season create an additional financial situation for the team to continue. Those funds are used to off-set those expenses.
14. If you are a no show to participate in a fundraiser without approval from the chairperson you may be disqualified from participating in future fundraising.
15. Any additional monies raised will be put in the general fund.

Dear_______________________,
I am writing to share great news with you. I have made an All-Star Cheer Squad at Spirit Express. The name of my team is ______________. We will be practicing hard to compete at locations all over the state and we are very determined to do our best and make everyone proud. I can’t wait to share my pictures of the season with you!
We also work very hard throughout the year to earn money to help pay for our uniforms, competition fees and other expenses. We do this by selling cookie dough, participating in the UCM homecoming breakfast, hosting pasta dinners and participating in many more fundraising activities. However, this year we are not going to ask you to purchase a variety of different items. Many friends and family members would much rather make a onetime contribution to my fundraising account. This account is mine and used for my expenses only. The directions are included in this letter if you choose to make a contribution. And if you choose not to that is okay too. Either way I want you to know I appreciate the time you took to read my letter and hear about my news. I wanted to share my excitement and will share my successes as the season progresses.
Enclosed is a self addressed envelope. Please enclose a check made Payable to SPIRIT FUNDRAISING. Please print my name in the memo of the check to make sure it goes into my account. Please fill out the form below and enclose it with your check. The gym will give it to me so I know what you have donated. Thank you so much for your support.
Dear______________,
Congratulations on your achievement of making the team! We are so proud of you and wish you great success this season. Work hard, focus and good things will happen for you and your team. Have a great time and have lots of fun. We’re looking forward to seeing the pictures of your success. I have made a contribution to your account in the amount of___________. Make us proud!
Good Luck and Much Success,
